How you want to get paid is super super important!!
For this setup I am recommending PayPals invoice system because it will protect you the most. It is a bit more work for keeping track of your inventory posts on the site but I think in the end it is a better option for having more control. You can have these on separate pages but for ease of ordering it would be good to have them both listed together.
On this page you want to make it super easy to understand how you accept payments and how you accept orders.
the easiest thing to say would be to just tell people what to put in the email, subject and body of the email.
Example:
Once received I will confirm the items availability and send you an
invoice via PayPal for payment. If an item is not available I will reach
out to advise you so you can confirm if you would like to continue the
order with out it or if you want to cancel the order. Shipping prices are listed here for reference.
To place an order:
Please email me at ORDERING EMAIL ADDRESS HERE
Please put in email subject line COMPANY NAME ORDER
Please list in the body of the email the item code for each item you would like to order.
Once payment has been received by PayPal then I will ship out your order and send you a tracking number for your order.

Now if you are worried about special requests this is the page that you would want to talk about if you will allow them. If you want to list what you can or can not allow you can setup a separate page and then link it to your message here on if you will or will not be able to do special requests.
